Service Contracts With a Free Digital Compliance Logbook
Planned maintenance for fire and security systems across Bristol and the South West — and every certificate, test and remedial in one QR-scannable digital logbook, included at no extra cost.
Installed and maintained for businesses in Yeovil, Lufton Trading Estate, Chard, Crewkerne and across Somerset.
A contract should make compliance easier, not just cost money
Most people don't fail an inspection because their fire alarm is broken. They fail because nobody can find the paperwork, the weekly test log has three months missing, or the last engineer's report went to an email address that no longer exists.
We're a small team — Adam and Jack run it, and you'll deal with us directly — so we built our maintenance contracts around fixing that. Every Affinity service contract includes a free digital fire safety and security logbook: one QR code on the wall, and everything a fire officer, insurer or auditor could ask for is on screen in seconds.
No licence fee, no per-user charge, no tie-in to a third-party platform. It's part of the contract for as long as you're with us.
The digital logbook, in plain English
It replaces the red folder that lives behind reception. Same information, same legal value, far harder to lose.
Scan and you're in
We fix a discreet QR label next to your fire panel, plant room or reception. Any authorised person can scan it with a phone and see the live record for that site — no app to install, no password hunting.
Every certificate in one place
Service reports, commissioning certificates, emergency lighting tests, extinguisher records, remedial quotes and asset registers, all filed against the right site and always the current version.
Weekly test prompts
Your responsible person gets a reminder for the weekly call point test and monthly emergency lighting check, then logs it in seconds. No more blank pages in a paper book the week before an inspection.
Weekly or monthly compliance reports
A clear summary emailed to you — what's been tested, what's outstanding, what's due next and any open remedials. Forward it straight to your insurer, landlord or fire risk assessor.
Works on any phone or laptop
Managers, caretakers and duty staff can all use it. Nothing to buy, nothing to maintain, and it stays available even when the person who normally keeps the folder is on holiday.
Multi-site ready
Running several buildings? Each site keeps its own QR code and record, and you get one roll-up report showing which sites are green and which need attention.

How the QR code works
- 1. We label the site. A small, weather-tolerant QR label goes next to the fire panel and anywhere else that makes sense — reception, plant room, main riser.
- 2. Anyone authorised scans it. Phone camera, no app. The record for that exact building opens straight away.
- 3. Tests get logged in seconds. Weekly call point test, monthly emergency lighting flick test, visual extinguisher check — tap, sign, done, with the date and person recorded.
- 4. We keep it current. Every visit we make uploads the service report and certificate automatically, so the record never falls behind.
Weekly and monthly compliance reporting
Choose how often you want to hear from us. Every report is written so a non-technical manager can act on it, and every item tells you who needs to do something.
Weekly snapshot
Was the weekly call point test done? Which zone? Anything left open from last week? Ideal for schools, care settings and larger premises where the duty rota changes.
Monthly compliance report
A one-page position statement for each site: tests completed, services due, open defects with priority, and certificate expiry dates. Good enough to hand to your insurer or fire risk assessor as it is.
Remedial tracking
Faults we find are logged with a photograph, a plain-English explanation and a fixed price. Nothing gets quietly forgotten, and nothing gets done without your say-so.
Three ways to work with us
Every contract is priced from an actual site survey, not a phone estimate. These are the shapes most of our customers fall into.

What we cover

- Fire alarm systems (BS 5839)
- Emergency lighting (BS 5266)
- Fire extinguishers and suppression
- Intruder alarms (BS 8243 / PD 6662)
- CCTV and access control
- Disabled refuge and EVC systems
- Smoke ventilation and AOV
- Electrical testing and certification
Taking over an existing system
You don't need to change equipment to change maintainer. We service most major fire and security manufacturers, and a takeover starts with a free survey so you know exactly what condition the system is in before you commit.
If we find something that shouldn't be there, we'll tell you and price the fix honestly. If the system is fine, we'll say that too — we'd rather keep a customer for ten years than sell one unnecessary upgrade.
You can read more about this in our guide to digital fire safety logbooks and what the law expects you to keep, and our page on maintenance and remedials covers the engineering side. Your first service also includes a free digital asset register with device-by-device reporting, so you know the state of every detector and sensor on site.
Talk to us about a service contract
Tell us what systems you have and roughly how big the site is. We'll survey it properly, price the contract clearly and set up your free digital logbook before the first visit.
